Privacy & Cookie Policy

This Privacy Policy explains how Hairdressing Supplies Lincoln Ltd collects, uses and shares your personal information when you visit or make a purchase from www.hairdressingsupplies.com (the "Site"). We are committed to handling your data in line with the UK GDPR and the Data Protection Act 2018.

  • Hairdressing Supplies Lincoln Ltd (Company No. 10215759; VAT No. GB244532518)
  • 80 Great Northern Terrace, Lincoln, LN5 8HJ, United Kingdom

Information we collect

Information you give us

When you make, or attempt to make, a purchase or create an account, we collect information including your name, billing address, shipping address, payment information (including card details), email address and phone number. We refer to this as "Order Information". If you make a specific request — for example, to be notified when an out-of-stock item returns, or to receive offers — we hold the details you provide until that request has been fulfilled or you ask us to stop.

Information we collect automatically

When you visit the Site, we automatically collect certain information about your device and how you use the Site, including your web browser, IP address, time zone, and cookies installed on your device. As you browse, we also collect information about the pages and products you view, the search terms you use on the Site, the websites or search terms that referred you, and how you interact with the Site. We refer to this as "Device Information".

We collect Device Information using the following technologies:

  • Cookies — data files placed on your device, often including an anonymous unique identifier. To learn more about cookies and how to disable them, visit www.allaboutcookies.org.
  • Log files — track actions on the Site and collect data such as your IP address, browser type, internet service provider, referring/exit pages and date/time stamps.
  • Web beacons, tags and pixels — electronic files used to record information about how you browse the Site.

Where we talk about "Personal Information" in this policy, we mean both Device Information and Order Information.

How we use your information

We use the Order Information we collect to fulfil orders placed through the Site — including processing payments, arranging shipping, and providing invoices and order confirmations. We also use it to:

  • Communicate with you about your orders and account;
  • Screen orders for potential risk or fraud (in particular using your IP address);
  • Where it aligns with the preferences you've shared, provide you with information or marketing about our products and services;
  • Identify and contact high-volume customers who may qualify for additional discounts or a dedicated Account Manager.

We use Device Information to help screen for risk and fraud, and to improve and optimise the Site — for example, by generating analytics about how customers browse, search and interact with the Site, and to measure the success of our marketing and advertising.

Legal basis for processing

Before processing any personal data, we make sure at least one lawful basis under the UK GDPR applies. We rely on the following bases:

  • Contract — to process and deliver your orders and manage your account;
  • Legitimate interests — to operate, improve and secure our business, prevent fraud, respond to enquiries, and carry out direct marketing to existing and prospective business customers (balanced against your rights);
  • Consent — for certain marketing and for non-essential cookies, which you can withdraw at any time;
  • Legal obligation — where we must process data to comply with the law (for example, retaining transaction records for tax purposes).

Who we share your information with

We do not sell your personal information. We share it only with trusted service providers who help us run our business, and only as far as needed for them to provide their service. These fall into the following categories:

  • E-commerce platform & hosting — our store and checkout run on Shopify, which processes Order Information to operate the Site (see Shopify's privacy policy).
  • Payment providers — to process payments securely, including providers such as Klarna and Shop Pay. Your card details are handled by these payment providers, not stored by us.
  • Couriers & order fulfilment — delivery partners receive the name, address and contact details needed to deliver your order.
  • Analytics — we use our own first-party analytics, together with the analytics built into our store platform (Shopify), to understand how the Site is used and to improve it.
  • Advertising & marketing — we work with providers including Meta (Facebook), Google and Klaviyo (our email marketing provider) to measure and deliver advertising and to send marketing communications. You can read about Google's practices at policies.google.com/privacy and manage Google ad personalisation at adssettings.google.com.
  • Reviews & on-site experience providers — to collect product reviews and to provide on-site search and personalised recommendations.
  • Operational & security providers — services that help us host, run and secure the Site, including error monitoring and content delivery.
  • Professional advisers & authorities — we may disclose information to comply with applicable laws, respond to a lawful request, or otherwise protect our rights.

Where these providers act on our behalf, they do so under a contract that requires them to keep your information secure and use it only for the purposes we specify.

International data transfers

Some of our service providers are based outside the United Kingdom and the European Economic Area (EEA), which means your personal information may be transferred to, and processed in, those countries. Where this happens, we take steps to ensure appropriate safeguards are in place — such as transfers to countries with a UK adequacy decision, or the use of Standard Contractual Clauses / the UK International Data Transfer Addendum.

Behavioural advertising

We use your Personal Information to provide you with targeted advertisements or marketing communications we believe may interest you. For more about how targeted advertising works, see the Network Advertising Initiative's educational page. You can opt out of targeted advertising through:

Do Not Track

Please note that we do not alter the Site's data collection and use practices when we receive a Do Not Track signal from your browser.

Cookies

Cookies and similar technologies help the Site work, remember your preferences, understand how the Site is used, and support marketing. You can manage your preferences at any time using the cookie consent tool on the Site, and you can block or delete cookies through your browser settings — though some parts of the Site may not work properly without them.

The list below shows the cookies and similar technologies used on the Site, grouped by category, with their purpose and how long they last. It is generated and kept up to date automatically by our consent management provider, CookieFirst, so it always reflects what is currently in use.

Your rights

If you are in the UK or EU, you have the following rights over your personal information:

  • Access — request a copy of the personal information we hold about you;
  • Rectification — ask us to correct information that is inaccurate or incomplete;
  • Erasure — ask us to delete your information in certain circumstances;
  • Restriction — ask us to limit how we use your information;
  • Portability — ask us to transfer your information to you or another provider;
  • Objection — object to processing based on legitimate interests, including direct marketing;
  • Withdraw consent — where we rely on consent, you can withdraw it at any time.

To exercise any of these rights, please contact us using the details below. We process your information to fulfil contracts we have with you (for example, when you place an order) and otherwise to pursue the legitimate business interests described above. You also have the right to lodge a complaint with the UK's Information Commissioner's Office (ICO) at ico.org.uk.

Data retention

We keep your personal information only for as long as necessary for the purposes set out in this policy, including to satisfy any legal, accounting or reporting requirements. When you place an order, we retain your Order Information for our records unless and until you ask us to delete it. When information is no longer needed, we securely delete or anonymise it.

Minors

The Site is not intended for individuals under the age of 18, and we do not knowingly collect personal information from children.

Changes to this policy

We may update this Privacy Policy from time to time to reflect changes to our practices or for other operational, legal or regulatory reasons. The latest version will always be available on this page.
